All formal complaints and allegations will be addressed by the executive board and handled accordingly.
There will be no persecution presented towards anyone speaking up about guidelines being broken, if the allegations are truthful and not meant as a personal attack.
YEG-PAH and its Executive Board of Directors would like to keep personal dispute resolutions outside of the group/events. Any conflicts that have occurred outside of the group/events/chats DO NOT fall within the jurisdiction of the Board of directors and will not be taken into consideration for reprimand or issuing of consequences.
Extenuating circumstances may arise in which the board of directors will need to address behaviour that has occurred outside of YEG-PAH events. It is neither the practice nor the intention of the Executive Board of Directors to interfere in the personal lives of the members of YEG-PAH. However, if there are extreme instances have taken place, the board of directors will discuss what course of action, if any, is necessary. Extreme circumstances may include but are not limited to:
- Violence or harassment, where there is a legitimate concern for the reputation of the organization, the safety of its members, or where legal action is taken against any member.
If you have been verbally or physically threatened, are suffering from a violation or a restraining order, or the victim of someone breaking the law, you should be contacting law enforcement to report the behaviour.
For all situations/allegations and before any action will be taken, the following criteria must be met:
- Incidents/situations must be reported to a board member withing a timely manner. If the situation occurs at an event, it should be reported immediately. However, in the event that it is not reported immediately, it should be reported within 14 days of the situation.
- If a board member is involved in the breach of conduct, you must report the incident to the President OR Vice President ONLY. In an extreme instance where the situation has involved both parties, you can report it to another member of the board of directors.
- The situation or incident must have occurred at a YEG-PAH sanctioned event or within the YEG-PAH Telegram or Discord Chat Rooms.
- There must be evidence to support all accusations. We are not the police or trained investigators and we will not act on complaints/allegations based solely on hearsay (They said/They said situations). This policy is in place to protect the Executive Board of Directors, the parties involved and the reputation of the organization.
All situations and allegations are taken seriously when reported to the board members. Any reports/allegations sent to the board will be appropriately disclosed to the membership and documented to ensure that proper measured have been taken to resolve the situation. The only details that will be disclosed are the nature of the incident as well as any actions taken. Names and Details of the situation will NOT be disclosed to the public.
Conflict Resolution Policy:
Conflicts can arise in any group setting, including YEG-PAH Events and communication channels and chat rooms. We are all adults and are expected to act in accordance, however, conflicts may still occur, and they are best resolved by the people directly involved.
We expect that the members of the group try to resolve conflicts amongst themselves before bringing it to the attention of the board of directors.
